Step by step guide on how to schedule a Programme Analysis Report for a specific Programme.
1. Log into Back Office
2. Select the ‘Automated Reporting’ tab and double click on ‘Add New Programme Analysis…’ option:
3. You will now be presented with the ‘Add New Programme Analysis Report Scheduled Task’ window.
4. Enter an appropriate name for the scheduled task in the ‘Description’ field and tick the ‘Enabled’ option (assuming you want to enable the task):
5. Set the End Date to be a date after the final performance of the Programme has occurred.
6. Choose a Frequency for the job to run, along with a Time and Day of Week if needed.
7. Define the range over which Oscar should look to find Performances of the Programme. By default the task will look for Performances in the time period covered by the frequency the task runs on – e.g. if a task has been set with a ‘Weekly’ frequency, when the task runs it will look for any performances which have occurred in the past week.
Assuming the Performances of the Programme you’re interested are is in the future, this will need adjusting. To do this, you need to calculate when how many days away from today the final performance of the programme is. For example, if I was creating the task today (November 1st) but Performances of the Programme were scheduled to run Dec 1st – Dec 5th, then I’d need to tell Oscar to look into the future to find the performances. Since all my performances will be finished in approximately 5 weeks, I can enter -35 into the second edit box as shown below:
Note the minus sign which I’ve prefixed to the number of days – this tells Oscar to look into the future rather than the past so is important not to miss out.
8. Then enter the relevant email address of the intended recipients into the ‘Email Addresses’ field.
9. You can then decide on what optional information you want to include and how you want the details to be grouped. In this example I have chosen the following options:
10. Finally I can choose the Programme I am interested in by clicking on the ‘Add’ option and then selecting the appropriate Programme:
11. With all the options selected, my Programme Analysis Report is now ready to run. The final window now looks like this:
If I wish to test the scheduled task out, I can check the ‘Should Run Now’ option at the top of the window and then click OK to save the task. Otherwise, I will click OK and then at 0730 on Monday, the task will run and email out the Programme Analysis Report.
