An introduction to Patron Lists along with a step by step example of how to create one.
You can use Patron Lists to extract segments of customers from your Patron Database. There are a range of different filters available to you for this, from Ticket purchases to Membership enrolment or based on aspects of their Patron record such as their postcode.
When creating a Patron List you are actually saving the rules that you want to use to define your list rather than saving a list of people. Using the list at a later date to populate the recipients of a marketing email in Oscar or just using the ‘Test’ button to extract data to pull into a 3rd party system always dynamically searches your Patron Database at that point in time so the results are up to date.
To create a Patron List start by double clicking ‘Add New Patron List’:
Now click ‘Include Patrons’ to define your first filter. You are now presented with 3 options for the Patron List Item Type. This is the category of the filter you’re going to create. Let’s imagine we’re creating a Patron List to extract everyone who came to see a screening of the film “Spirited Away”. I would choose Ticket Sale from the dropdown and be presented with a number of Ticket Sale based filter options:
From here we can choose the Programme “Spirited Away” and could also add in any other filters such as which Screen or Auditorium the film was showing in or even the type of ticket that was purchased (Adult, Snr Citizen etc) from the Person Type dropdown.
If you are wanting to use this Patron list to generate a list of people to actively send marketing material to then you should also include a filter to only include people who have agreed to receive this marketing in order to comply with the current and upcoming Data Protection laws regarding marketing.
To do this you need to add a second filter of type Patron. Click the ‘AND Where’ button to add a second filter to our List and choose Patron from the dropdown:
This time we’re going to use a custom field for checking whether the customer has agreed to receive email marketing. We call this a User-Defined Field so click the Edit button next to User-Defined Fields:
Now we can look for the Email Marketing custom flag and choose ‘Checked’ from the dropdown next to it to make sure we only include people in our list who have agreed to receive emails:
The Patron List is complete and provides us with a list of all of the people who bought a ticket for Spirited Away that also flagged that they were happy to receive emails when they created their account. We can press the Test button to see the list as it stands right now and from there we also have the option to save/export the results to .CSV or Excel. Remember to give your list a suitably descriptive name and to click OK to save it for use again in the future:
