A walk through guide detailing how to configure a Performance Reminder Email.

This guide details the steps involved in configuring a Performance Reminder Email.

As a pre-requisite, you should have a Performance Reminder Email Template set up in Back Office. If you do not, please get in touch and we will provide one for you.


Part A: Configure the Performance List


1. Go to the Marketing tab and select 'Performance Lists'

2. Double click on 'Add New Performance List...' and then click on 'Add Condition':

3. Select the conditions you wish to use to define your Performance List - you can pick one or more conditions, depending on your situation. In this example we want to send a Performance Reminder Email to anyone who booked a ticket for a performance of "L.A. Confidential" so we select that show:

4. Click OK and you should see the condition has appeared in a purple/red box. Give your performance list a suitable description:

5. Click OK to save your new Performance List.


Part B: Configure the Performance Reminder Email Scheduled Task


1. Open Back Office and go to System and then click on 'Performance Reminder Email'.

2. Double click on 'Add New Performance Reminder Email...':

3. Fill in the details as needed. In the below example, Oscar will check at 0900 each morning to see if anyone is due to see a performance of L.A. Confidential in 1 day's time and, if they are, Oscar will send them a Performance Reminder Email.

"Contact Sheet User" - the account of the person who is setting up the job.

"Performance Reminder Email" - the email template that will have been configured for you by Savoy Systems.

"Send email to..." - either the Patron List you configured in Part A or a Query that Savoy Systems have built for you.

"Number of Days before..." - the field where you enter the number of days in advance of the screening (or after the screening) that you want Oscar to send out the email.


4. Click OK to save. The Performance Reminder Email is now scheduled to start running on whichever date you specified.
